Shamrocks Sports and Childcare – Holiday Club Terms & Conditions

By booking a place at the Shamrocks Sports and Childcare Holiday Club, you agree to the following terms and conditions:

1. Bookings and Payments

  • All bookings must be made in advance and are subject to availability.
  • Full payment is required at the time of booking to secure your child’s place. Please contact us if using childcare vouchers. We appreciate this can take some time to reach our accounts.
  • Places will not be held without payment.
  • We accept payments via card, bank transfer, and approved childcare voucher schemes (if applicable).

2. Cancellations and Refunds

  • Cancellations made within 48 hours of the scheduled booking will be refunded in full.
  • Cancellations made after 48 hours will not be eligible for a refund.
  • In the case of illness, at the discretion of the management, credit may be offered for future use, subject to availability and evidence.

3. Arrival and Collection

  • Children must be signed in and out by a named adult listed on the registration form.
  • If someone else is collecting your child, prior written or verbal authorisation must be given.
  • Late collection fees may apply after the stated collection time- Β£5 for every 10 minutes late.

4. Medical and Emergency Information

  • Parents must complete all relevant medical, allergy, and emergency contact details before their child attends.
  • In the case of illness or injury during the session, we will contact the parent/carer immediately.
  • In emergencies, we may act in loco parentis and seek medical attention if necessary.

5. Behaviour and Exclusion

  • Shamrocks operates a positive behaviour policy. Children are expected to follow staff instructions and show respect for others.
  • In cases of persistent inappropriate behaviour, a parent may be contacted and asked to collect the child early.
  • We reserve the right to exclude a child if their behaviour compromises the safety or enjoyment of others. Refunds will not be issued in these circumstances.

6. What to Bring

  • Children should bring a refillable water bottle, a packed lunch (nut-free), and appropriate clothing for indoor and outdoor activities.
  • Please label all belongings. We are not responsible for the loss or damage of personal items.

7. Photography and Social Media

  • We may take photographs or videos during sessions for promotional use. You will have the option of consenting or not to this during your sign up process. Please continue to update this.

8. Safeguarding and Welfare

  • All Shamrocks staff are DBS checked and follow our safeguarding and welfare procedures.
  • We are committed to ensuring your child is safe, secure, and supported while in our care.

9. Changes and Cancellations by Us

  • In rare cases, we may need to cancel a session due to unforeseen circumstances (e.g., staff illness, venue closure). In such cases, a full refund or credit will be offered.
